Fixed-scope AI engineering

Custom AI automation.
Live in days, not months.

Coding The Brains builds custom agents, workflow automation, internal tools, dashboards, and voice systems for US operating teams. The scope is fixed before kickoff, and the delivered code belongs to the client.

The problem

Your team is the bottleneck. The reports are late. The data lives in 14 places.

  • Manual Monday

Someone pulls numbers by hand every week. The CSV → spreadsheet → deck pipeline starts with a person.

  • CRM as graveyard

Stale data. Half-filled fields. The CRM is a dumping ground, not a source of truth.

  • Ask Sarah

Workflows that should run themselves still need a human babysitter. Sarah is your single point of failure.

  • Engineering blocked

Your team is heads-down on revenue product. The ops backlog never moves. Quarter after quarter.

“We don’t need another dashboard.
We need the work to actually get done.”

What we sell

Choose by scope, not ambition.

The package boundary is concrete: number of workflows, systems, interfaces, controls, and support days. Price and deadline follow that boundary.

Run the ops layer

What we build

Internal ops systems that actually run.

Not a chat widget. Not a Zapier chain. Real software with a reasoning layer that survives schema changes.

Executive reporting agent

Brief me on Q-to-date pipeline.
Slack me a 5-bullet summary every Monday.

HubSpot Stripe Slack Postgres

RevOps workflow

Watch HubSpot, enrich every lead, score against ICP, route to the right AE, log activity.

Internal search

Ask plain-English questions about your Notion, Linear, and Slack history.

Order ops

Watch Shopify, flag fulfillment issues, open Linear tickets, notify warehouse.

Anomaly detection

Watch your KPIs and alert when they drift. With reasoning, not just thresholds.

Finance reporting layer

QuickBooks + Stripe + bank feeds reconciled into a board-ready PDF every Friday morning.

How it works

What happens after we agree on the scope.

Each step has a named output. You can see what is decided, what is being built, and what you receive at handoff.

  1. 01

    Discovery call

    30 min

In 30 minutes, we trace the current process, required systems, exceptions, and the result you will use to judge the build.

  2. 02

    Spec lock

    24 hours

You receive the written boundary, acceptance test, price, and delivery date before anyone starts coding.

  3. 03

    Build

    1–14 days

The engineer from the scoping call builds the system and sends progress updates against the agreed acceptance test.

  4. 04

    Handoff

    1 hour

We walk the operator through the live system, record the session, document recovery steps, and transfer the codebase.

  5. 05

    Iterate

    Ongoing

Bug-fix coverage lasts 7–30 days, depending on the package. Further changes are optional and separately scoped.

Why us

Commitments you can check before signing.

These are delivery terms, not slogans: named ownership, repository access, written scope, and explicit exclusions.

  • 01

    Senior engineers only

The engineer who scopes the work is responsible for the implementation and the handoff. There is no account-manager relay.

  • 02

    Owned codebase

The project lives in a repository you can access. CTB does not require a proprietary platform subscription to keep it running.

  • 03

    Flat price, fixed timeline

The proposal states the price, deadline, acceptance test, and exclusions. New scope requires a written change order.

  • 04

    Scope before kickoff

We verify the workflow, dependencies, acceptance test, and handoff plan before the build begins, so both teams know what delivery means.

FAQ

Questions to settle before kickoff.

What stack do you use?

We choose the stack after reviewing the workflow, deployment environment, security requirements, and systems involved. Typical builds use Python or TypeScript, Postgres, and the model provider that meets the privacy, quality, latency, and cost requirements.

Do we own the code?

Yes. The proposal states repository and deployment ownership before kickoff. CTB does not require an ongoing proprietary platform fee for the delivered code to run.

What's your refund policy?

Rapid Launch ships in 24 hours. Miss the deadline by more than 48 hours of kickoff and you get a full refund. No questions.

Who actually writes the code?

A senior engineer who participates in scope is responsible for implementation and handoff. The work is not passed through a separate account-management layer.

Do you offer ongoing support?

Yes. Monthly retainers start at $1,500, but they are optional. Each project package also includes a defined bug-fix period after handoff.

What if our integration is unusual?

We review the API documentation, authentication method, sample payloads, rate limits, and failure behavior before accepting the integration into a fixed scope. If access cannot be verified, it remains an explicit dependency or is excluded.

Do you do voice agents?

Yes — as an add-on attached to an ops system, never standalone. Twilio + ElevenLabs stack. From $3k.

Bring one recurring process

Show us the work that still lives in spreadsheets, inboxes, and handoffs.

In 20 minutes, we will trace the workflow, identify the difficult edge, and tell you whether it fits one of our delivery packages.
